Roll-Up Banner Artwork Preparation in Kenya: Sizes, Bleed and Proof Checks

A print preparation checklist for roll-up displays: confirm the stand template, visible area, image quality, QR code and final proof before sending artwork to print.

Roll-up banner artwork preparation in Kenya begins with the supplier's template for the exact stand being ordered. Confirm the visible panel size, the area that feeds into the cassette and the required file setup before designing. Two banners described by the same nominal width can still have different production requirements.

This is a practical file and approval guide for businesses preparing an exhibition, reception display or event banner. It focuses on readability and handover mistakes that a general price guide cannot resolve. For a quotation, send the stand requirements and artwork through Mocky's branding and print form. The digital printing service is another starting point for discussing display production.

Get the correct template before arranging the layout

Ask whether you are ordering a complete stand and graphic or replacing the graphic in an existing cassette. For a replacement, provide photographs and any available make, model or measurements. Do not assume that a new printed panel will fit an old stand just because the approximate widths match.

Request the template and distinguish the finished artwork dimensions from the visible display area. Ask how much material is retained inside the mechanism and where important content must stop. Keep the template's instructions with the design file so another designer does not accidentally remove the reserved area during a later revision.

Confirm whether the template is supplied at full size or a reduced scale. A file created at one tenth of full dimensions needs careful handling of effective image resolution and export settings. Write the scale in the handover note. If any measurement is unclear, resolve it with the supplier before artwork approval rather than relying on a common size found online.

Design for the distance people will view it from

A roll-up display usually has a few seconds to communicate its purpose. Choose one main message, then add a short explanation and a clear next action. A banner listing every service, every social account and a long company history asks a passing visitor to do too much reading.

Decide the hierarchy before adding decoration. The reader should be able to identify the business, understand the offer and know how to respond. Place the primary message where it can be seen when people or a reception desk stand in front of the lower panel. Do not rely on small copy near the floor to communicate the main offer.

Create a rough actual-size print of the headline or use a measured section to assess scale. View it from the expected distance in ordinary lighting. A desktop preview scaled to fit a laptop screen is useful for overall balance but cannot establish whether the smallest wording will be legible at an exhibition entrance.

Keep critical content away from cuts and hardware

Bleed, safe area and hidden cassette area solve different problems. Bleed extends background artwork beyond the intended trim boundary. A safe area keeps important content away from edges. The hidden area accounts for the part of the graphic retained by the stand mechanism. Follow the supplier's values for each rather than choosing one generic margin.

Ask the printer to mark the visible boundaries on a proof. Check the logo, headline, phone number and QR code against those boundaries. A design can have adequate bleed and still lose important wording inside the cassette if the visible area was misunderstood. Likewise, putting text exactly on a safe-area line leaves little room for a later layout adjustment.

If your design has an edge-to-edge photograph or colour background, extend it as instructed. Do not add a white strip to fill extra file dimensions unless it is part of the approved appearance. For general background on the distinction, see Adobe's print marks and bleed guidance, then use your printer's template for this specific product.

Check image quality at the final output scale

Use the original logo and original photographs wherever possible. Images copied from a social media page may already be compressed and too small for a large display. Ask the designer to check effective resolution at the final output dimensions and confirm the printer's requirements for the expected viewing distance.

A file's resolution label alone can be misleading. Increasing a small image's stated resolution without adding genuine detail does not produce a sharper original. A PDF can also contain low-quality images, so its filename extension is not a quality check. Inspect the placed images and request replacements early when necessary.

Avoid enlarging a screenshot of a company profile into the banner design. Rebuild the layout from its actual components: editable logo, text and source photographs. This also makes it easier to simplify the message for a standing display. Keep the editable master so future dates, locations or service details can be updated cleanly.

Agree colour handling and export requirements

Ask which colour profile and PDF settings the printer expects. Follow their workflow rather than repeatedly converting the file between colour spaces. Where brand colour matters, provide your established references and ask whether a physical sample or a colour check can be arranged before the main print.

Check black text, light lettering and areas with low contrast. A muted brand palette that works on a bright screen may need careful adjustment for a readable physical display. Discuss any change with the person responsible for the brand. Do not promise that an uncalibrated phone preview represents the final printed colour exactly.

Export using the agreed specification and reopen the resulting PDF. Verify page dimensions, orientation, wording and image appearance. Confirm that fonts are handled as requested, whether embedded or outlined, and keep an editable original separately. Remove template instructions and guides from the output only according to the supplier's requirements, without deleting necessary production information.

Test the call to action before approving production

Choose a response method people can complete while standing near the banner. If that is a QR code, send visitors to a relevant page with a clear next step. A long general homepage may be less helpful than a focused enquiry or booking page. Make sure the destination works on a mobile connection.

Test the QR code from a physical sample at a representative distance and size. A successful scan from the original image on your laptop does not prove that the printed code will work equally well. Check the surrounding clear space, contrast and placement. Keep an alternative contact route visible for people who do not want to scan.

Read the phone number digit by digit and visit any written web address. Have a second person proofread the final file independently. If the display includes an event date, venue or limited offer, check those details against the current event brief. A production proof is the time to find a wrong digit, not after the stand arrives at the venue.

Approve the complete display and delivery brief

An approval message should identify the artwork version, stand type, visible dimensions and quantity. Confirm whether the quoted package includes the mechanism, printed graphic, assembly and carry bag. If you need delivery to an event venue, include the exact location and the latest acceptable arrival time in the order brief.

Discuss a setup check before the event where practical. Once collected, erect the stand carefully according to the supplier's instructions and inspect the message, fit and stability on a suitable surface. This is especially useful when a replacement graphic is being paired with existing hardware. Leave enough time to raise a problem before doors open.

Keep the approved PDF, source files and order specification together. For a reorder, confirm whether the same stand and template are still available. If you change the supplier or hardware, request a fresh template check rather than sending the previous PDF as automatically production ready. A small verification step can prevent an expensive last-minute reprint.

Frequently asked questions

Can I design a roll-up banner in Canva?

Yes, if the file can be set up and exported to the printer's requirements. Confirm the dimensions, hidden area, bleed and image quality. Tell the supplier which tool you are using and request a file check before approval. The design tool alone does not determine whether the output is suitable.

Is a standard banner size enough information?

No. Confirm the exact template and what part will be visible. Nominal dimensions do not resolve the cassette allowance, finishing or replacement compatibility. Obtain those details for the particular stand rather than relying on measurements from an unrelated product listing.

Should every image be 300 DPI?

Ask for the printer's required effective resolution at final size and intended viewing distance. A single blanket number does not account for reduced-scale artwork or the way a large display will be viewed. Supply the best original image and let the production team assess its suitability.

How do I request a useful quote?

Send the template if you have it, the quantity, artwork, stand or replacement requirement, deadline and delivery location through the branding and print quote form. Ask for a complete KES quotation and an artwork check. For related event clothing, the merchandise team can help you brief the garments separately so the display and clothing approvals remain clear.

Plan the budget separately

For context before requesting a specification-based quote, read our related pricing guide. Confirm current prices with the team for your exact order. Keep the material and artwork requirements in the brief so any price comparison covers the same deliverable.
